What we collect
When you submit an enquiry we collect your name, work email address, telephone number and company name, together with the details you give us about your print estate: number of sites, number of devices, current supplier, agreement end date and approximate print volume. If you call us we collect your telephone number and a recording of the call.
We also record the page you enquired from and how you arrived at the site.
Why we collect it
To introduce you to a managed print supplier who can respond to your enquiry. Our lawful basis is legitimate interests: you have asked to be put in touch with a supplier, and the information is what a supplier needs in order to respond usefully.
Who we share it with
We share your enquiry with one managed print supplier so they can contact you. We do not sell your details, and we do not pass them to multiple suppliers.
We use Netlify for hosting and data storage, Twilio for telephony and call recording, Slack for internal notifications and Resend for email delivery. These providers process the data on our behalf.
How long we keep it
We keep enquiry records for up to three years, which reflects the length of a typical managed print agreement, and call recordings for up to twelve months.
That covers our own records only. Once we have passed your enquiry to a supplier, they hold their own copy and keep it under their own retention policy, which we do not control.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or erased, to object to our processing it, and to ask us to restrict processing. You can also complain to the Information Commissioner's Office at ico.org.uk.
We can act on those requests for the information we hold. Where we have already passed your enquiry to a supplier, you will need to contact them directly about their copy — we cannot erase or amend records held on their systems.
